Administrative Assistant
Responsibilities:
1. Ensure the Smooth Running of the Office and Help to Improve Company procedures, Day-to-Day Operations, and Efficiency.
2. Building and Maintaining Relationships with Clients and Employees
3. Manage Office Budget, Ensure Accurate and Timely Reporting.
4. Ensure Completion of Projects and Tasks on Time and with Superb Quality.
Duties:
1. Organize office operations and procedures.
2. Partner with Director of Nursing and management to update and maintain office
policies.
3. Professional communications in person, phone, emails, faxes
4. Maintaining all requirements of client and personnel files
5. Organization of office layout, inventory, and ordering
6. Administrative tasks for Director of Nursing, RN Case Managers, Hiring Manager,
Scheduling Manager and Billing & Payroll Specialist
7. Coordination of marketing, information technology, cleaning & maintenance
8. Manage contract and price negotiations with office vendors and service providers.
9. Plan in-house or off-site activities, like parties, celebrations, and conferences
Skill Requirements:
1. Proven experience as an Administrative Assistant or similar
2. Proficiency in MS Office (Microsoft Word, Excel and OneDrive)
3. Familiarity with email tools, spreadsheets and databases
4. Hands on experience with office machines (fax machines, printers, laptops, desktops)
5. Sound judgement, patient leader, and management skills
6. Attention to Detail, Problem Solving and Critical Thinking
7. Professional, timely and detailed Written and Verbal Communication
8. Excellent time management skills and ability to multi-task and prioritize work.
9. Strong organizational and planning skills in a fast-paced environment
Schedule:
35-40 hours per week during M-F 9am-5pm
24-hour Urgent Phone Call Management for 1 week per month (7 days)
Job Type: Full-time
Salary: $17.00 - $19.00 per hour
Expected hours: 35 – 40 per week
